This Privacy Policy describes how Suhani Technologies ("we", "our", or "us") collects, uses, and protects information through the Medhavan Academic ERP mobile application ("the App").

By using the App, you agree to the practices described in this policy. If you do not agree, please do not use the App.

Suhani Technologies is a technology provider that develops and operates the Medhavan Academic ERP platform — a multi-school SaaS solution for educational institutions.

The App handles the following categories of data on behalf of the schools that subscribe to our platform:

Data We Do NOT Collect

• Location / GPS data
• Microphone or camera access (beyond user-initiated photo uploads)
• Device contacts or SMS
• Advertising identifiers
• Biometric data

All data is used solely for providing the Medhavan Academic ERP service:

• Authentication — to verify identity and maintain secure sessions
• Academic Management — to display student records, marks, and results
• Attendance Tracking — to record and report class and exam attendance
• Fee Management — to manage billing, receipts, and payment records
• Communication — to send school announcements and notices
• Schedule Management — to manage timetables and teacher assignments
• Report Generation — to produce mark sheets, tabulation charts, and admit cards
• Security — to log login activity and detect unauthorized access

We do not sell, rent, or trade personal data. We may share data only in these limited circumstances:

• With the School (Tenant): The subscribed school controls and has access to all records belonging to their institution. We act as a data processor on their behalf.
• Service Providers: We use hosting providers to store data. These providers are bound by confidentiality agreements.
• Legal Obligations: We may disclose data if required by law, court order, or government authority.

All data remains within the school's tenant boundary. One school cannot access another school's data.

We implement the following security measures:

• Encrypted HTTPS communication between the app and server
• Password hashing (passwords are never stored in plain text)
• Role-based access control
• Session token expiry and secure logout
• Regular database backups

Data Retention

Data is retained for as long as the school's subscription is active. Upon account termination, data is retained for 90 days before permanent deletion, unless earlier deletion is requested.

Authorized users have the following rights:

• Access — Request a copy of the personal data we hold about you
• Correction — Request correction of inaccurate or incomplete data
• Deletion — Request deletion of your data (subject to the school's agreement)
• Portability — Request data in a machine-readable format
• Objection — Object to certain types of data processing

The Medhavan Academic ERP app is intended for use by school administrators and teachers only. The app is not directly used by students or minors.

The system does store student records (including records of minors) on behalf of schools. This data is entered and managed exclusively by authorized school staff. Schools are responsible for obtaining appropriate consents from parents/guardians before enrolling student data into the system.

No advertising SDKs, analytics platforms, or data brokers are integrated into the App.

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page. Continued use of the App after any changes constitutes acceptance of the new policy.
